Who we are & what this covers

Synapsis Medical Technologies Inc. (“we”, “us” or “Solis”) operates this website from Edmonton, Alberta. We are responsible for the personal information we collect through the website and its launch waitlist.

This policy covers browsing this website, joining the waitlist and contacting us about either. It does not describe all processing in the Solis mobile app. The app has its own privacy notice, which you should read before using it. Website screenshots contain example information; they do not display your health records.

We handle personal information under Alberta’s Personal Information Protection Act (PIPA) and other applicable privacy laws, including the federal Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies to interprovincial or international commercial activities.

Information we collect

  • Waitlist information: the email address you enter, the time of signup, a record of the launch-email consent you gave, and whether and when a notification was accepted by our email service.
  • Correspondence: your email address, the contents of messages you send us and the information needed to respond to a request, including a record of consent withdrawal.
  • Technical information: our hosting and security providers may process your IP address, browser and device information, request times, pages requested, and diagnostic or security logs when delivering and protecting the website. If the hosting platform requires sign-in, it also processes the information needed for that access.

The waitlist does not request your name, date of birth, precise location, payment details, vitamin D levels or other health records. Please do not send medical records or other sensitive information through this website or the waitlist contact address.

How we use information

We use your email address to maintain the waitlist and, with your express consent, send updates about the launch and availability of Solis. A signup notification is sent to our team so we can manage the list. We also use information to answer questions, handle privacy requests, prevent abuse, maintain the website and meet legal obligations.

We do not sell or rent the waitlist, use it for third-party advertising, or enrol you in unrelated marketing. We will ask for any additional consent required before using your information for a materially different purpose.

Your consent & email choices

Joining the waitlist is optional. The signup checkbox is unticked by default and asks specifically for Solis launch and availability emails from Synapsis Medical Technologies Inc. Browsing the website does not subscribe you.

You can withdraw email consent at any time, at no charge, by using the unsubscribe method in a launch email or by emailing preetam@synapsismedical.com with a request to leave the Solis waitlist. No account or explanation is required. We will stop launch emails without delay and no later than 10 business days after your request.

Withdrawal ends future launch emails. We may still reply to a request you initiate and keep a limited record where reasonably needed to honour your withdrawal or meet legal obligations. You can also ask us to delete your information, subject to those limited needs.

Service providers & processing locations

We use the following services to operate the website and waitlist. They receive information needed for their role:

  • OpenAI Sites and Cloudflare: website hosting, access controls, request handling, security and the database that stores waitlist records.
  • FormSubmit: forwards your signup email address and consent details to our team. It receives the submission from our server; this website does not load a FormSubmit tracking script into your browser.
  • Google Workspace / Gmail: receives and stores signup notifications and correspondence sent to our company inbox.

Our company handles information in Canada. These services can process information outside Canada, including in the United States, for hosting, storage, security, support and email delivery. Information processed abroad may be accessible to courts, law-enforcement or other authorities under the laws of those countries.

Processing-location review: the complete country inventory for this website’s provider configuration has not yet been verified. FormSubmit’s published policy does not identify its processing countries. The other providers use international infrastructure and their general country lists do not confirm the location of an individual Solis record. We do not promise Canada-only storage.

Other disclosures

Access within our company is limited to people who need the information to administer the waitlist, respond to you or maintain the service. We may disclose information where required or permitted by applicable law, such as responding to a valid legal demand, addressing fraud or a security incident, or obtaining professional advice under appropriate confidentiality obligations.

If a business transaction affects Solis, any transfer of personal information will be subject to the requirements of applicable privacy law. We will not treat a change in ownership as permission for unrelated marketing.

Cookies & website analytics

The Solis landing-page code does not set advertising cookies, run third-party analytics, use tracking pixels or request your device location. Fonts and preview images are served with the website. Interactive previews run in your browser.

The hosting platform may use cookies or similar technologies for authentication, security and delivery. Those functions are covered by the hosting provider’s notices as well. You can manage cookies through your browser; blocking essential cookies may affect access. Following an external link takes you to a service with its own privacy practices.

Retention & security

We keep active waitlist records while needed to provide the launch updates you requested. We review the list at least annually and remove or anonymize information when the launch-update purpose ends or it is no longer reasonably needed. Withdrawal ends use of your address for launch emails.

We may retain limited consent, withdrawal, correspondence or incident records for a reasonable period to demonstrate compliance, respect an unsubscribe request, resolve a dispute or meet a legal obligation. Those records are not used to restart marketing. Deletion also needs to account for notification emails and provider backups, which may remain until their normal deletion cycles complete.

We use safeguards appropriate to the information, including HTTPS transmission, restricted administrative access and no public endpoint for reading the subscriber list. No internet service can guarantee complete security. If a breach occurs, we will assess it and notify the appropriate regulator and affected people when required by applicable law.

Access, correction & complaints

You may request access to your personal information, information about how it has been used or disclosed, or correction of an inaccuracy. Send a written request to our Privacy Contact by email or post. Please identify the email address used for the waitlist and describe your request. We may take reasonable steps to verify your identity, using no more information than needed.

We will respond within the applicable legal time limit. Under Alberta PIPA, this is generally 45 days, subject to permitted extensions; where PIPEDA applies, the usual limit is 30 days, subject to permitted extensions. If we cannot provide access or make a correction, we will explain the reason and available review options, subject to legal restrictions. We do not charge for an unsubscribe request or correction; if an access fee is legally permitted, we will explain it in advance.

You can raise a concern with us or contact the Office of the Information and Privacy Commissioner of Alberta. Where federal privacy law applies, you can also contact the Office of the Privacy Commissioner of Canada.

Children

This website’s waitlist is intended for adults aged 18 or older. We do not knowingly seek children’s personal information. If you believe a child has joined the list, contact us so we can review and remove the information as appropriate. This does not state an age-eligibility rule for the mobile app.

Changes to this policy

We will update the date on this page when we revise the policy. For material changes affecting existing information, we will provide appropriate notice and obtain further consent where required. A revised policy does not retroactively authorize an unrelated use of information.
